Who runs this

Parks and Rec Email is a private mailing tool operated for the Otay Mesa Community Recreation Group (OMCRG). It is not offered to the public. Contact: giffendotty@gmail.com.

What the tool does

The tool keeps OMCRG's member contact list in a Google Sheet, receives sign-ups from a Google Form, and prepares announcement emails (for example meeting minutes and agendas) as drafts in the owner's Gmail. A person reviews every announcement and sends it manually. The tool never sends email on its own.

Google user data the tool accesses, and why

• Google Sheets (spreadsheets): to read and update the contact list it maintains for the group.
• Google Forms (forms): to manage the sign-up form and read its responses. The form asks for name, email, optional phone, organization and role, and requires consent to receive group announcements.
• Gmail (compose): only to create draft announcement emails in the owner's Gmail, with recipients in BCC. The tool does not read the owner's inbox or other mail.
• Google Drive (drive.file): only to create and update backup copies of the contact list in a folder the tool itself created. It cannot see other files in Drive.
• Apps Script triggers (script.scriptapp): to run the form-processing step when someone submits the sign-up form.
• Account email address (userinfo.email): to identify which Google account the tool is running as.

When the owner maintains the tool from a command-line program (clasp), that program also requests permissions to update and deploy the tool's own Google Apps Script project and its related Google Cloud project settings. These are used only to maintain the tool and not to read anyone's content.

How the information is used

• It is used only to maintain the group's contact list and to prepare the group's announcement emails.
• It is not sold, not shared with third parties, and not used for advertising.
• People on the list can ask at any time to be removed or corrected by contacting the address above.

Where information is stored

Data is stored in Google services inside the owner's own Google account (Sheets, Forms, Drive and Gmail drafts, plus the Google Apps Script project). The owner also keeps a private backup copy of the contact list and a sign-in token on their own computer. The tool does not send this data to any other server or service.

Revoking access

The owner can remove the tool's access to the Google account at any time at myaccount.google.com/permissions.

Google API Services User Data Policy

The tool's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
